Job Title: Event Planner
Location: Research Triangle Park, NC – (Hybrid: 3 days in-office, 2 days remote)
Pay rate:$35 - 40/hr
Assignment Duration: Through December 30, 2025, with the possibility to extend for up to 2 years
Responsibilities:
You will manage end-to-end planning and execution of agricultural events—both in-person and virtual—including logistics, vendor negotiations, budgeting, travel arrangements, on-site coordination, and post-event analysis. You’ll collaborate with cross-functional teams to align themes and promotions with business goals, track attendance, engagement, and ROI, and drive continuous improvement through feedback, cost-saving measures, sustainable practices, and new technologies.
Success requires strong project-management and communication skills, relationship-building across stakeholders, adaptability to changing requirements, proficiency with digital event platforms and productivity tools, and willingness to travel up to 25% overnight. Experience in agriculture or sustainability events is a plus but not mandatory.
• Overseeing logistics for events, including event space, contracts, agenda planning, AV requirements, meeting room setups, equipment and labor, menu selection, speaker coordination, sponsorship management, decor, signage, collateral, graphics, transportation, and event reconciliation and reporting. Ensuring clear communication with stakeholders throughout the planning and execution phases to guarantee alignment and satisfaction.
• Developing and managing relationships with vendors to secure necessary services and products for successful event execution, ensuring quality and adherence to budget constraints.
• Traveling to and managing all aspects of events on-site, ensuring smooth execution of logistics and that the event meets established goals and objectives.
• Identifying industry trends and best practices to improve event efficiency, cost savings, and execution, while assisting team members with events as needed.
Qualifications:
• Bachelor’s Degree and/or events or meeting planner certification, or equivalent experience in a related field.
• Four plus years of event management experience, preferably within a corporate, large venue, or event management capacity.
• Exceptional time management and organizational skills with a proven record of success in planning, managing, and executing multiple events simultaneously.
• Excellent written and oral communication skills at all levels, with the ability to succinctly convey updates and project plans.
• Experience managing mid- to large-size budgets, with advanced knowledge of contractual language pertaining to meetings and events, and significant experience negotiating with vendors.
• Proven ability to work independently and as part of a team, maintaining a calm demeanor under pressure.
• Adaptability to situations and ever-changing demands, with a high level of organization to handle multiple tasks and meet strict deadlines.
• Experience with event registration systems and event mobile app platforms.
